Technician: Accounting Food Services
|
JOB SUMMARY Performs para-professional accounting work which involves assisting a professional Senior Specialist Accountant in the preparation of complex financial reports and the technical analysis of accounts and accounting systems. Assists in the preparation and analysis of complex accounting data to ensure accuracy and efficiency in preparation of reports for sales data and payment of vendors in the financial accounting system, reviews and verifies sales data to ensure claim reimbursement is calculated correctly and ensuring compliance with federal regulations, and reviews statements and invoices for accuracy, pricing and adherence to purchase orders and resolving discrepancies. Assists the accountant to ensure the smooth operation of the work unit by recommending and initiating procedural changes and will troubleshoot and solve problems concerning receipt of product, inquiries from cafeteria personnel, principals, parents and other departments. Records and maintains equipment repairs, verification of service performed, payment and maintaining historical data for future use.
ESSENTIAL DUTIES/RESPONSIBILITIES
- Conducts comprehensive reviews of point of sale (POS) data weekly throughout the school year for accuracy, completeness and compliance with Federal regulations using POS software. Maintains documentation and accurate records on sales revenue and expenditures for use for preparing bids, historical information and audit preparation.
- Resolves issues with sales during analysis making adjustments and reconciling discrepancies. Contacts school cafeteria managers as necessary to correct errors.
- Imports verified data in food service software for additional analysis and preparation of claim and eventual recordation in AACPS financial accounting system.
- Prepares payments to vendors, employees and contractors complying with purchasing policies and procedures and adherence to quotes, pricing and contractual terms.
- Reviews request for repairs on equipment in Remedy Program assigning equipment to vendor, recording and providing historical repair information for review and obtaining approval for repairs. Obtains approval on repairs and matching invoicing to quotes, assures all repairs are completed to initiate payment and recording by equipment in Remedy.
- Assists professional staff providing information as required concerning food service operations and compliance with accounting policy. Confers directions to employees, vendors, contractors and parents concerning food service operations.
- Assists in reviewing, training and auditing work of lower level techncians engaged in processing of billings and statements for payment.
- Participates and attends in-service trainings, seminars, policy committees and food service operations as required for improvement in communication and methods.
- Reviews procedures periodically to update and improve in-house routine and to check for accuracy. Assists in preparing specialized forms/in-service meetings/opening and closing instructions.
- Provides back-up assistance to other clerical and secretarial staff.
- Performs other related duties as assigned within the same classification or lower.

Education
- Associate's Degree in applicable field of education from a regionally accredited college or university required;
- Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the applicant to successfully perform the duties of the position.
Experience
- One (1) year experience in food services accounting principles and procedures preferred.
- Three (3) years progressive accounting experience required;
- Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the applicant to successfully perform the duties of the position.
Knowledge, Skills, Abilities and Other Characteristics
- Demonstrated ability in the use of pc-based spreadsheets, word processors and mainframe accounting systems.
- Excellent oral and written communication skills.
- Ability to deal courteously and tactfully with employees, vendors, contractors and parents.
- Demonstrates ability to effectively work and communicate with diverse populations.
- Demonstrated proficiency with business technology applications (e.g. Video/Web Conferencing, Microsoft Office Suite -Word, Excel, Outlook, and/or PowerPoint preferred). For new permanent secretarial/clerical/technician hires, a minimum score on a pre-employment assessment is required.
Licenses and Certifications Employee must retain active licenses, certifications, and enrollment as a condition of employment.

Qualification Requirements for Employment in Higher Grade as a New Hire or Transfer requires:
- Two (2) additional years successful experience required.
- Achievement of Professional Certification or Certificate in Business or Accounting, or Completion of coursework or workshops leading towards professional certification, as determined by the supervisor required.
Eligibility for Consideration for Advancement from Lower Grade to Higher Grade requires:
- Two (2) years continuous successful experience in the position at the Lower Grade level.
- Mastery of all responsibilities and duties of the position.
- Achievement of Professional Certification, License or evidence of course completion in pursuit of such certification or license, if applicable.
- Evidence of completion of additional training that may be recommended by supervisor and/or participation in approved professional development programs or courses, approved in advance by the supervisor. Successful completion of a minimum of one professional development within the last two years is required. Successful completion of job specific professional developments identified on the job description, performance evaluations and/or the supervisor’s documented recommendation are required.
- Achievement of identified goals as they relate to the needs of the district and as established by the supervisor.
- Consistent maintenance of an effective and orderly work environment.
- Consistent compliance with general office procedures such as standards contained in the AACPS Employee Handbook; demonstration of discretion and excellent customer service; regular and punctual attendance; and building dress code, including wearing AACPS ID badge.
- Above Satisfactory overall job performance for the two most recent consecutive years of Performance Ratings.
- Letter of Recommendation written by the supervisor.
