JOB SUMMARY
Performs responsible and complex administrative and technical duties including but not limited to executing physical inventory, reconciliation of inventory, and appropriate documentation of inventory transactions for all Fixed Assets and Sensitive items purchased by AACPS as indicated in the Property Control Manual. Collaborates with Accounting to ensure all property accounting functions are completed and accurate for Annual Comprehensive Financial Audit. Prepares reports and documentation for management review and analysis as well as periodic State Legislative audit. Work involves maintaining, adjusting, researching, and enhancing the inventory records data systems with strict adherence to organizational policies and procedures.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Facilitates inventory schedules and executes physical inventories at all schools and satellite offices.
  • Utilizes inventory data systems to record item entries, modifications, transfers, deletions, and sales.
  • Ensures completeness of inventory records to include acquisition date, acquisition cost, location, barcode, description, and last verified date for all fixed assets and sensitive items.
  • Reconciles physical inventory findings with current records on hand, previous results, and purchasing/accounting records.
  • Investigates inventory discrepancies and follows proper documentation techniques when making adjustments.
  • Analyzes newly purchased item reports screening for new item entry and researches proper cataloging of newly entered items
  • Prepares, assembles, vets, and distributes inventory system reports for review and analysis.
  • Performs inventory data systems checks and collaborates with the Office of Technology to ensure the inventory data system is functioning as required.
  • Performs other related duties as assigned within the same classification or lower.

Education

  • High School Diploma or Equivalency Certificate required.
  • Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.

Experience

  • Three (3) years clerical and/or administrative experience required; and
  • One (1) year inventory management or inventory administration experience preferred; and
  • One (1) year purchasing or purchasing administration experience preferred; and
  • One (1) year Advantage Financial experience or a Financial Data System experience preferred.
  • Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.

Knowledge, Skills, Abilities and Other Characteristics

  • Proficiency with Microsoft Excel.
  • Proficiency with Microsoft Outlook, Word, and PowerPoint.
  • Excellent organization and administrative skills.
  • Ability to coordinate inventory related activities and address any issues or concerns with schools, satellite offices, contractors, and stakeholders.
  • Ability to comply with relevant property management policies, regulations, and standards.

Licenses and Certifications
Employee must retain active licenses, certifications, and enrollment as a condition of employment.

  • Upon hire, Driver's License (DL) Class C Non-Commercial issued by Maryland or State of Legal Residence (MVA/DMV) required.
  • Proof of a good driving record required.
  • Daily access to reliable transportation.
